The reduced fee is available only to ESPA members form the following countries: Albania, Latvia, Armenia, Lithuania, Azerbaijan, Belarus, Republic of Moldova, Bosnia and Herzegovina, Romania, Bulgaria, Russian Federation, Croatia, Serbia and Montenegro, Czech Republic, Slovakia, Poland, Estonia, Slovenia, Georgia, Tajikistan, Hungary, The former Yugoslav Republic of Macedonia, Kazakhstan, Turkmenistan, Kosovo, Ukraine, Kyrgyzstan, Uzbekistan. There is NO reduction for any other country either within or outside Europe. 

Trainee : in order to benefit from the trainee fee, the trainee must be a member of ESPA and is required to upload their certificate of training.

Registration fees include 21 % VAT.

Note: Payments must be received by the corresponding deadlines (early or late), otherwise the subsequent rate will be automatically applied.

The registration fee includes:

  • Entrance to the scientific sessions and exhibition area
  • Congress materials
  • Refreshments – coffee breaks and lunch
  • Welcome Cocktail on 6th September 2018

HOW TO REGISTER

To register for the Congress, please fill in the on-line Registration Form.

First please fill in the Personal Data Form and continue to registration by choosing the correct registration fee. During the registration process, you will receive a password and an automatically generated summary to your email address. Your password is the same for all on-line forms (registration, accommodation and workshops).

Upon submitting the Registration Form, you will receive a confirmation from the Congress Secretariat within three working days.

For group registration (above 10 participants) please contact the Congress Secretariat at email address congress@euroespa.com.

METHODS OF PAYMENT

Registration fees must be paid in EUR by one of the following methods:

1. Credit or Debit Card

For payment by credit or debit card please use the On-line Payment System. The system is accessible with the password that you received upon registration. The system accepts the following credit/debit cards: MasterCard/Eurocard, Visa and Diners Club.

Due to the Belgian legal and tax system, the online payment will be available from the end of April 2018.

2. Bank Transfer

The bank details including the 10-digit variable symbol will be sent to you within three working days after the submission of the registration form. Please note that payments without this variable symbol will not be identified and the registration will not be confirmed.

Please note that bank transfer payments will be accepted only until 24th August 2018. After this date, only payments by credit/debit cards will be accepted using the On-line Payment System.

All payments made by bank transfer have to be net of all bank charges. The payer pays the bank charges of their bank, and the beneficiary pays the charges of their bank, if any.

CANCELLATIONS AND REFUNDS

The Congress Secretariat must be notified in writing by e-mail at congress@euroespa.com or fax (+420 284 001 448) about the cancellation of the registration. Cancellation by phone call will not be accepted. The appropriate refunds will be made after the Congress.

The following cancellation conditions apply:

full refund of the registration fee, handling fee of 30 EUR will be deducted

12th July – 6th August 2018:

50 % of the registration fee

from 7th August 2018:

no refund

If a change or cancellation made by a participant in registration or accommodation results in a refund, GUARANT International reserves the right to charge a 30 EUR handling fee.

NAME CHANGE

If you are prevented from attending, you will be given the opportunity to send a colleague in your place. Name changes should be reported in writing to Congress Secretariat. A handling fee of 30 EUR will be charged for each name change. No name change will be possible after 7th August 2018.

VISA REQUIREMENTS

Invitation letters for visa purposes can only be sent to participants who have completed the registration process. Further information regarding visa requirements can be found here.
